How to Track and Manage Collections Activity in BHPH

Accessing Collections

To manage collection activities:

  1. Open the customer's account.
  2. Click the Collections tab.

Using Quick-Action Buttons

Quick-action buttons allow you to perform key collection activities. To use them:

  1. Navigate to the Collections tab.
  2. Locate the blue quick-action buttons.
  3. Click the desired action: Phone Call, Send SMS, Send Email, Add Activity, or Add Promise to Pay.

Logging a Phone Call

To log a phone call:

  1. Click the Phone Call button.

  2. If Click-to-Call is enabled, the call will be placed automatically.
  3. Once the call ends, log the details by clicking Add Activity.

Adding an Activity

To log customer interactions:

  1. Click the Add Activity button.

  2. In the Add Activity window, select a disposition such as:
    • No Answer
    • Left Message
    • Spoke to Customer
  3. Enter notes about the conversation.
  4. Assign the activity to a user if needed.
  5. Set a follow-up date if applicable.
  6. Click Save to log the activity.

Sending an SMS

To send a text message:

  1. Click the Send SMS button.

  2. Select a message template or type a custom message.
  3. Attach any necessary documents.
  4. Click Send to deliver the message.

  5. View complete SMS conversation history under the SMS Activities.

Sending an Email

To send an email:

  1. Click the Send Email button.

  2. Select an email template or write a custom email.
  3. Attach relevant files if needed.
  4. Click Send to email the customer.

  5. All emails are logged in the Activities section, allowing you to track all communications with the customer.

Managing Promises to Pay

To set up a promise to pay:

  1. Click Add Promise to Pay.

  2. Enter the payment amount.
  3. Assign the follow-up to a user.
  4. Set the due date.
  5. Add notes if necessary.
  6. Click Save to record the commitment.

To review past promises, open the Promise to Pay tab, under the Account Details tab.

Viewing Activities History

To review past collection activities:

  1. Go to the Collections tab.
  2. Scroll down to the Activities section.
  3. Use filters to view specific activities such as calls, SMS messages, or emails.
