Accessing Collections
To manage collection activities:
- Open the customer's account.
- Click the Collections tab.
Quick-action buttons allow you to perform key collection activities. To use them:
- Navigate to the Collections tab.
- Locate the blue quick-action buttons.
- Click the desired action: Phone Call, Send SMS, Send Email, Add Activity, or Add Promise to Pay.
Logging a Phone Call
To log a phone call:
- Click the Phone Call button.
- If Click-to-Call is enabled, the call will be placed automatically.
- Once the call ends, log the details by clicking Add Activity.
Adding an Activity
To log customer interactions:
- Click the Add Activity button.
- In the Add Activity window, select a disposition such as:
- No Answer
- Left Message
- Spoke to Customer
- Enter notes about the conversation.
- Assign the activity to a user if needed.
- Set a follow-up date if applicable.
- Click Save to log the activity.
Sending an SMS
To send a text message:
- Click the Send SMS button.
- Select a message template or type a custom message.
- Attach any necessary documents.
- Click Send to deliver the message.
- View complete SMS conversation history under the SMS Activities.
Sending an Email
To send an email:
- Click the Send Email button.
- Select an email template or write a custom email.
- Attach relevant files if needed.
- Click Send to email the customer.
- All emails are logged in the Activities section, allowing you to track all communications with the customer.
Managing Promises to Pay
To set up a promise to pay:
- Click Add Promise to Pay.
- Enter the payment amount.
- Assign the follow-up to a user.
- Set the due date.
- Add notes if necessary.
- Click Save to record the commitment.
To review past promises, open the Promise to Pay tab, under the Account Details tab.
Viewing Activities History
To review past collection activities:
- Go to the Collections tab.
- Scroll down to the Activities section.
- Use filters to view specific activities such as calls, SMS messages, or emails.
